Welcome to AYM Travels

These Terms & Conditions explain how we work with you to plan, organise, and support your travel experience in Sri Lanka and beyond. By confirming a booking with us, you agree to these Terms on behalf of yourself and all travellers included in the booking.

1. Who We Are & What We Do

AYM Travels operates as a Travel Agent and Destination Management Company (DMC) arm of AYM Global Private Limited, based in Sri Lanka.We design itineraries, coordinate travel arrangements, select service providers, and support you before and during your journey.

Your travel experience may include accommodation, transport, tours, guides, activities, and other services. While AYM Travels organises and manages these arrangements, the physical delivery of individual services is carried out by professional service providers operating under their own licences, standards, and responsibilities.

2. Making a Booking

Bookings may be made by an individual traveller or by one authorised person acting on behalf of a group.

The person making the booking confirms that they have authority to accept these Terms for all travellers included. Once we issue a written confirmation or invoice, your booking becomes contractually confirmed.

Some services may initially be offered subject to availability. These will be confirmed once final confirmation is received from the relevant provider.

Please review all booking details carefully and notify us promptly if anything requires correction.

3. Prices, Payments & Taxes

Unless agreed otherwise in writing, full payment is required before services are confirmed.

Prices are based on current supplier rates, taxes, and exchange conditions at the time of booking. Occasionally, prices may change due to factors beyond our control, including fuel costs, government taxes, supplier charges, currency fluctuations, or any other changes that are reasonably beyond the control of AYM Travels. If this occurs, we will inform you as soon as reasonably possible.

AYM Travels reserves the right to suspend or cancel services if payments are not received within agreed timeframes.

4. Special Requests & Preferences

We are happy to pass on special requests such as dietary needs, room preferences, or accessibility requirements to service providers. While we will make reasonable efforts to accommodate such requests, they cannot be guaranteed unless confirmed in writing by the provider.

5. Changes You Request

If you request changes to your confirmed arrangements, we will do our best to assist, subject to availability.

Any additional costs, fare differences, supplier penalties, or administrative charges resulting from changes will be payable by you. Unused or partially used services cannot be refunded.

6. If You Need to Cancel

Cancellations must be communicated to us in writing through our official communication channels.

Cancellation charges are determined by supplier policies and the timing of cancellation. Some services may be non-refundable. The applicable cancellation terms for your booking will be shared at the time of confirmation.

7. Changes During Travel

Occasionally, itinerary adjustments may be necessary due to operational, safety, weather, or logistical reasons. If this happens, we will inform you in earliest practicable availability and aim to offer suitable alternatives were reasonably possible.

AYM Travels cannot be responsible for additional costs or losses arising from events beyond our reasonable control, including natural events, government actions, strikes, or supplier disruptions.

8. Health, Safety & Insurance

Travel involves inherent risks. Travellers are responsible for ensuring they are medically fit to travel and for advising us of any relevant health conditions that may affect their journey.

We strongly recommend comprehensive travel insurance covering medical expenses, cancellations, delays, and personal belongings.

AYM Travels cannot be held responsible for medical costs, accidents, illness, or emergency expenses incurred during travel.

9. During Your Trip – Resolving Issues

If you experience any issue during your trip, please inform the relevant service provider immediately so it can be addressed on the spot.

If the issue remains unresolved, please notify AYM Travels in writing within 48 hours, including your booking reference and details of the concern. Prompt communication allows us to assist effectively.

10. Our Commitment to You

AYM Travels is committed to arranging your travel with care, professionalism, and transparency. We take responsibility for properly organising your itinerary, coordinating services, and supporting you throughout your journey.

However, we cannot be held responsible for acts, omissions, or operational failures of service providers who operate independently of our direct control.

Nothing in these Terms limits any rights you may have under applicable Sri Lankan law.

11. Traveller Responsibilities

Travellers are responsible for:

• Ensuring passports, visas, vaccinations, and travel documents are valid

• Complying with immigration, customs, and health regulations

• Conducting themselves responsibly and respectfully

Any loss, damage, or additional costs caused by a traveller’s actions may be charged to the traveller.

12. Liability Limits

Where permitted by law, any liability attributable to AYM Travels shall be limited to the amount paid for the specific service concerned.

AYM Travels is not responsible for indirect or consequential losses such as missed connections, loss of enjoyment, or additional personal expenses.

13. Force Majeure

AYM Travels shall not be liable for failure or delay in providing services due to events beyond reasonable control, including but not limited to natural disasters, extreme weather, pandemics, government actions, strikes, civil unrest, or technical failures.

14. Privacy & Use of Information

We respect your privacy. Personal information is used only for the purpose of arranging your travel and communicating with service providers.

Electronic communications are not guaranteed to be fully secure. Please avoid sending sensitive personal or financial information by email.

15. Photography & Marketing

During tours or experiences, photographs or videos may occasionally be taken for operational or promotional purposes. If you do not wish to appear in such material, please inform us in advance.

16. Website Use

Information on our website is provided for general guidance and may be updated from time to time. AYM Travels does not guarantee uninterrupted or error-free website access.

17. Governing Law & Dispute Resolution

These Terms are governed by the laws of Sri Lanka.

If a dispute cannot be resolved amicably within 30 days, it shall be referred to mediation in Colombo, Sri Lanka, conducted in English before a single mediator.

18. Updates to These Terms

We may update these Terms periodically. The version in force at the time of booking will apply to your travel arrangements.
